YMCA of Central Florida Membership Policy

This Membership Policy outlines expectations, responsibilities, and guidelines designed to ensure a safe, welcoming, and positive experience for all members of the YMCA of Central Florida.

By enrolling in a YMCA membership, members agree to comply with the policies outlined below, as well as all posted guidelines and codes of conduct.

Membership Enrollment

Members may join the YMCA of Central Florida:

Members who join online must visit a YMCA Family Center to complete enrollment, receive a membership ID, digital or physical, and have a photo taken.

To ensure account security and safety:

  • A valid photo ID is required for in-person enrollment or membership ID pickup
  • Registrants must be 18 years or older
  • Members under 18 must enroll with a parent or legal guardian present

To maintain uninterrupted membership access, a valid credit card, debit card, or bank account is required for recurring billing.

Waiver, Release, and Indemnification Agreement

All members are required to sign a YMCA of Central Florida Waiver, Release, and Indemnification Agreement prior to accessing facilities or participating in programs.

  • Each adult member must complete their own waiver
  • A parent or legal guardian must sign on behalf of minors included in a membership

Completion of this agreement is required for facility access and program participation.

Facility Access and Check-In

To support member safety and accurate attendance tracking, members must:

  • Present a valid membership ID or YMCA mobile app at each visit
  • Check in for every entry, including multiple visits in the same day
  • Enter and exit through designated front entrances

Memberships are intended for individual use only. Sharing membership credentials or allowing unauthorized access may result in suspension or revocation of membership.

Member Photos

A photo is required for all members and is used exclusively for identification and safety purposes.

  • Photos are securely stored and accessible only to authorized staff
  • Photos are never used for marketing without explicit member consent
  • Members may update their photo at any time

Members requesting a photo exception must present a valid photo ID at each visit. Members without a photo on file may be required to update their profile prior to future facility access.

YMCA Authority and Member Conduct Expectations

To maintain a safe, respectful, and mission-aligned environment, the YMCA of Central Florida reserves the right to suspend, deny, or revoke membership if a member:

  • Fails to adhere to the YMCA of Central Florida Code of Conduct
  • Abuses or misuses YMCA property, equipment, or facilities
  • Engages in illegal, disruptive, threatening, or abusive behavior
  • Acts in a manner inconsistent with the YMCA’s mission and values
  • Is identified through screening as a registered sex offender
  • Demonstrates ongoing behavior that threatens the safety or experience of others

All members are screened against applicable registries to support the safety of our community.

Privacy and Personal Information

During enrollment, members provide personal information such as name, contact details, date of birth, address, and photo.

To protect member privacy:

  • Recording images, video, or audio within YMCA facilities without prior authorization is not permitted
  • Personal information is protected and used in accordance with our Privacy Notice

Membership Dues and Fees

Membership rates, billing details, and fee policies are outlined in the Membership Dues and Fees page.

Returned payment fees and billing policies are governed by that agreement.

Member Communication Policy

The YMCA of Central Florida is committed to keeping members informed with timely and relevant updates.

How We Communicate

Members may receive communications through:

  • Email for operational updates, program information, pricing notices, and emergency alerts
  • Text messages (SMS) for essential operational notifications
    In-center messaging and the YMCA mobile app

Members may opt out of promotional communications but may not opt out of essential operational notifications.

Member Responsibilities

Members are responsible for:

  • Maintaining a valid and unique email address and mobile phone number
  • Keeping payment methods current and notifying the YMCA of changes
  • Promptly updating contact or billing information online, in person, or by calling 407-896-9220

Changes to Membership

To ensure accurate billing and service continuity, all membership changes must be submitted before the monthly billing anniversary date. Changes cannot be backdated.

Types of Changes

  • Upgrades take effect immediately. Billing resets to the change date, and any prepaid balance is prorated
  • Downgrades take effect on the next scheduled billing date. No prorated refunds are provided
  • Membership changes for members enrolled in active programs take effect after program completion. Pricing differences may apply

Cancellation of Membership

Membership dues are billed in advance and continue until cancellation is completed. Non-use of YMCA facilities does not constitute cancellation.

Members may cancel their membership by:

  • Calling 407-896-9220
  • Visiting any YMCA Family Center
  • Online through the member account (once available)

Cancellation requests must be received on or before the billing anniversary date to avoid charges for the next billing cycle. Membership dues are non-refundable.

Guests

Guests are welcome for limited access and must follow all YMCA policies.

Guests must:

  • Present a valid photo ID
  • Complete a guest packet and required agreements at each visit
  • Adhere to the YMCA Code of Conduct and membership policies

Guests are screened against applicable registries. Access may be denied based on screening results or policy violations.

Additional guidelines:

  • Guests under 18 must be signed in by a parent or legal guardian
  • Guests under 12 require parental supervision at all times
  • Daily or weekly guest fees may apply

Visitors

Visitors may access YMCA facilities for observational or official business purposes only.

Visitors must:

  • Have a valid reason for access
  • Present a valid photo ID and complete a waiver
  • Follow the YMCA Code of Conduct and facility policies

Visitors are screened against applicable registries.

Program Participants

Program participants are welcome to access facilities during scheduled program times only.

Participants must:

  • Complete all required paperwork and pay program fees in full
  • Check in and present appropriate identification
  • Follow the YMCA Code of Conduct and membership policies
  • Youth participants and guardians are screened against applicable registries.

Volunteers

Volunteers must complete an application and background screening prior to acceptance. Volunteer status does not include membership benefits or facility access unless explicitly stated.

Financial Assistance

The YMCA of Central Florida offers financial assistance to qualifying individuals and families based on income verification and available funding.

Approved applicants must complete a full membership application and will receive assistance for a defined period. Reapplication may be required.

Facility Closures and Changes to Terms

To best serve the community, the YMCA of Central Florida reserves the right to:

  • Cancel programs or events due to insufficient enrollment
  • Close facilities due to inclement weather or circumstances beyond our control
  • Adjust schedules, rates, or fees as necessary

The YMCA will attempt to communicate rate or fee adjustments in advance using the primary email address on the member account.
